Admin Rescue Coordinator

Job description

We are seeking a career oriented, organized, self-motivated, Administrative Assistant to oversee accounts payable/receivable, Cash flow, manage emails, update systems and spreadsheets, organize events, and so much more. This position is open to candidates in Saint Lucia.

The ideal candidate must be computer literate (Word, Excel, Adobe is a plus), have excellent organization and communication skills, able to efficiently multitask, and be dependable. Daily duties and responsibilities include, but are not limited to:

  • Sending invoices and receipts via email to donors/adopters
  • Update databases with notes, when payments are received etc
  • Check and respond to multiple email accounts and messenger groups throughout the day
  • Provide information on the adoption process, individual animals, and general information on our rescue as requested in enquiries
  • Forward any necessary information received to the other team members
  • Ensure agreements are sent out and all files are updated
  • Manage cash flow and ensure all transactions are input and tracked
  • Assist with reaching out and organizing events and fundraisers
  • Ensure all bills/invoices are paid in a timely manner and are tracked
  • Coordinating veterinary care
  • Responsible for all fosters and volunteers
  • Assist with social media posts
  • Work in tandem with the Operations Manager, and Executive Director
  • Assist with onboarding of new volunteers and communicate needs of the organization
  • Organize flights, flight bookings, adoptables, and website
  • Handle all Outreach and Events
  • Assist with Canva
  • Other duties as assigned

 

This is a full time paid position with expected hours of 40 per week with nights and weekends. Flexibility is appreciated.

Animal Shelter Manager

Job description

We are seeking a responsible, hardworking and compassionate Animal Shelter Manager to oversee the daily operations of our shelter, ensure the humane care, safety, and well-being of animals while managing staff, volunteers, facility operations, and community outreach programs, promote animal welfare, facilitate adoptions, maintain regulatory compliance, and support the shelter’s mission and goals. This position is open to candidates in Saint Lucia.

The ideal candidate must have excellent organization and communication skills, be able to efficiently multitask, and be dependable. Daily duties and responsibilities include, but are not limited to:

  • Manage the daily operations of the animal shelter.
  • Ensure animals receive proper nutrition, medical care, enrichment, and housing.
  • Maintain a clean, safe, and sanitary facility.
  • Monitor animal intake, housing capacity, transfers, adoptions, and outcomes.
  • Develop and enforce shelter policies and procedures.
  • Ensure compliance with animal welfare standards and regulations.
  • Monitor the health and behavior of animals and coordinate veterinary care as needed.
  • Oversee vaccination, treatment, spay/neuter, and quarantine protocols.
  • Implement programs that promote animal enrichment and stress reduction.
  • Ensure humane handling and care practices are followed by all staff and volunteers.
  • Recruit, train, supervise, and evaluate shelter staff and volunteers.
  • Develop work schedules and ensure adequate staffing levels.
  • Provide ongoing training in animal care, safety, and customer service.
  • Promote a positive and collaborative work environment.
  • Oversee animal adoption programs and processes.
  • Develop strategies to increase adoption rates and positive outcomes.
  • Coordinate foster care, rescue partnerships, and community outreach initiatives.
  • Respond to public inquiries regarding animal care, adoption, and shelter services.
  • Assist with budget preparation and management.
  • Monitor expenditures and ensure efficient use of resources.
  • Maintain accurate shelter records, reports, and databases.
  • Prepare operational reports for leadership, donors, and regulatory agencies.
  • Manage the shelter’s social media platforms and online presence.
  • Create and post engaging content showcasing adoptable animals, success stories, events, and shelter activities.
  • Respond to inquiries and messages received through social media channels in a timely and professional manner.
